Job Title: Bid Support Administrator

Do you have a Bachelor degree in Business Administration or similar? Do you have the minimum of 2 years work experience in Sales and/or Bid Administration? General Summary

The main activity is to support the Business Development Director and Sales Team to run and improve, current processes which are in place and set-up new processes where required to improve the efficiency of the sales organisation. They will also ensure the bid approval processes is adhered to and be responsible for coordinating bids and ensuring the quality of submitted bids.

They will be responsible for submitting a completed bid to an existing or prospective client on time. They assist with ensuring that all the client's questions have been answered as fully as possible, and that the organisation has given itself the best possible chance of success.

The successful applicant will work closely with the Business Development Director and the Sales team to support business needs; which may from time to time require the post holder to work additional hours.

Responsibilities include:

Primary Function / Major Responsibility

  • Daily Support to sales team in the daily business and the VP key accounts.
  • Assist the Sales team in forming quotations and business proposals.
  • Assist Sales team in ensuring submission deadlines for tenders and bid are met including compiling all stakeholder's inputs.
  • To manage the bid qualification/Sales Decision Process (bid go / no go) for new opportunities.
  • Assist the Sales Team in Managing inputs from a variety of stakeholders, typically involving contributions from sales, marketing, product teams, finance, commercial, legal and delivery.
  • Assist the sales team in preparing and reviewing the commercial aspects of the bid, ensuring all services are included in the final price to the customer.
  • Assist with Maintaining a Risk Register During the Bid Process.
  • Contributing to the written proposal - both in terms of content and presentation (such as preparation of a management summary).
  • Ensure timely delivery of compliant and commercially sound bids - Act as the gatekeeper to ensure quality is maintained with submitted bids.
  • Assist with the development of improved Sales Processes.

Additional Responsibilities

  • Collating the Weekly/Monthly sales forecast from the CRM system and the sales team.
  • Extensive liaison with other people in the sales team and persons within the company involved in sales related activities.
  • Prepare sale/business development related reports and statistics for the board meetings.
  • Assist with managing the strategic account reviews (including, organising, preparation and monitoring).
  • Support the Business Support Analyst when required.
  • Updating CRM (where required).
  • Sales reporting - providing accurate information to the weekly consolidated reports, trend analysis and pipeline tracking.

Experience:

  • Bachelor degree in Business Administration or similar.
  • Minimum 2 years work experience (in a similar job as described above) in Sales and/or Bid Administration
  • Preferred: experience with CRM system i.e. Sugar/Jeeves

Job skills required:

  • Required language skills: Strong Written and Spoken English.
  • Required computer skills: Microsoft Office (in particular Excel and Word).
  • Must be an excellent communicator.
  • Strong coordinator/bridge-builder between Field Sales people and Sales management.
  • Very well organized and works in a structured way. A completer of tasks without being chased.
  • Process orientated and have experienced in setting up new processes and working in accordance with these processes.
  • Dynamic and creative person who is suited to a demanding and high stress position.
